Contact statuses, approval, and reactivation

Every contact carries a status so you always know where they are in the flow. Here's what each one means.

The statuses

  • Waiting Approval — added, but no request goes out until you approve.

  • Scheduled — approved and lined up to send.

  • Sent — the review request went out.

  • Reviewed — the customer opened the review link.

  • Stopped — opted out; no more requests go to them.

  • Failed — the request couldn't be delivered.

Why approval exists

New contacts always start at Waiting Approval. Nothing sends behind your back. You stay in control of who gets asked and when.

Reactivate past customers

When you have past customers waiting, the Contacts awaiting reactivation banner appears. Choose Manage, then Start reactivation. ReviewWheel gradually reaches back out and asks each one for a review, so your reviews land at a natural pace. Reactivating your past customers typically turns 5 to 12% of them into fresh Google reviews.

Stopping or removing

Open a contact's actions menu for View details, Stop requests, or Remove. Stopping marks them opted-out. Removing deletes the contact, but their message history stays in your records.
